Keeping a Virtual Team Productive Case Study

Keeping a mobile workforce and team productive while working virtually can be tough.  We recently had a client come us to with exactly this challenge and we eagerly jumped in to make some changes to ensure employee productivity remained high when working from home or on the road.

Challenge:
Each member of the team works outside of the office, whether it is from their home office or at a coffee shop.  The challenge was making sure that each team member could have access to the necessary data, files, and information they need no matter where they work or are located. 

Solution:
The Innovatively Organized team of Productivity Consultants set up programs to ensure the client’s team members each had access to their information, regardless of where they are working, by utilizing cloud-based services.  We set up a web-based file sharing program, virtual phone management system, CRM tools, and web meeting capabilities.

Result:
Now each employee has access to the data, files, and programs they need in order to complete their job and stay even more productive.  Each team member can utilize their computers, laptops, tablets and phones wherever they are to continue to work and stay connected with clients.

4 Ways for Busy Families to Use the Cloud

Think the cloud is just for professional use?  Think again!  Cloud computing is for busy families too.  The beauty of using “the cloud” is that it keeps information synced and accessible, making it a great solution for busy families trying to get organized.  Here are four ways that busy families can use cloud-based services to simplify their lives:

1.  Finances
Staying connected to your finances wherever you go can be challenging for many families.  Try a tool like Mint to help your family manage accounts and investments, as well as track spending and set up budgets.

2.  Photos
Online photo storage sites, such as SnapFish, can be a great way to let everyone view and access memories by using the sharing function.  You can also use these services to order prints or create cool photo products.  One of our favorite things to do is create photo books to preserve and show off memories at the same time!

3.  Calendars
Family calendars help to keep track of each family member’s schedule organized.  It is easy to create individual calendars and then share them as needed with other family members, or even a teacher, nanny, or carpool buddy.  One of our favorite options is Google Calendars since it works with just about any mobile device and is accessible online.

4.  Lists
Writing and sharing lists that the entire family can access is a must.  Using a tool like Cozi can help you keep track of shared grocery lists, to-do lists, and any other family priorities.

It’s National Organize Your Files Week!

This week celebrates National Organize Your Files Week, taking place April 23rd through the 27th.  We all know if we took a look inside our filing systems that we could find room for improvement, some more than others!  So here are some tips for improving your paper file organization this week.  Spend just 15 minutes each day to organize one aspect of your paper files:

-  Sort through your inbox and tackle actionable items
-  Create an Action File
-  Purge your file drawers and clear out past projects
-  Make sure your file labels are all up-to-date
-  Set a schedule for filing maintenance in the future and add it to your calendar

Elizabeth’s Favorite Things: SMEAD SuperTab Red Folder

Description: SMEAD SuperTab Two-Pocket Folders (No. 87966)

You’ll love it for:

  • Storing important business cards in the pocket.
  • Presenting information to clients.  As soon as the client receives it, they can then file it away in their file cabinet and label the tab, keeping it in line with the rest of their left tab file folders.
  • Transferring from a presentation folder to a file folder.
  • Keeping brochures standing straight up, using the slit on the inside right pocket.
  • Preventing papers from falling out the side when placed in a file cabinet with open sides, thanks to the top flap.
  • Accommodating many pages, instead of just a few, since the top flap can extend (approx. ¼” thick each side).
  • Writing longer descriptions on the file tab, since it is larger than normal.

Just keep in mind:

  • If you’re not using it for putting in a file cabinet, the flap at the top can be confusing and cumbersome. 
  • Currently, they’re only available in primary red, blue, green and black.
  • Unless you slide the paper right into the inside seam, you can see the papers showing through the file tab cut out, from the front.  This can diminish the presentation quality from the front.

This is one of our all-time favorite products to help you achieve your goal of becoming as paperless as possible. This scanner is portable, easy to use, and maintains great quality. 

 
Virtual Notebooks
Using virtual notebooks is a great way to reduce the amount of paper you use for notetaking or jotting quick to-do lists.  We like Evernote and Microsoft’s OneNote as great options to consider.  They are a great way to keep all of your notes paperless and organized.  You can even share your notes with other people!  For more information on virtual notebooks, download our virtual notebooks webinar.

REUSE EVERYDAY ITEMS

 
Magazine File (Cereal Boxes)
Cut the top flaps off of an empty cereal box.  Measure 6 inches from the bottom on the front and back side of the right side of the box.  Use a ruler to draw a line from each tick mark to the opposite top corner.  Use scissors to cut the diagonal piece off.  Cut a piece of wrapping paper or fabric as if you were wrapping a rectangular present, allow for 2-3 inches at the top and 2 inches at the bottom.  Adhere the covering around the box with a strip of tape or glue.  Fold the bottom and secure.  Fold the top of the covering inside the box and secure again.
 
Cord Management (Binder Clips)
Use large binder clips to tame unruly cords quickly.  Just wrap around the coiled cord and then remove the metal pieces of the clip.  Also consider attaching binder clips to the back of your desktop or work surface, string the cable or cord through metal rings, pull it through when in use and let it rest when not in use.  Use a label maker to label the clip with what the cord belongs to.
 
Office Supply Storage (Baby Food Jars)
Use small jars to store small office supplies.  Clean the jars and fill with small office supplies such as paper clips, staples, and rubberbands. Try placing the small jars on a turntable for convenient and easy access. Remember to keep the containers as consistent as possible to decrease the amount of wasted space. 
 

REORGANIZE WITH GREEN PRODUCTS

Using sustainable organizing products is a great way to choose from the options available while being environmentally friendly.  Office supplies made from bamboo resources not only are green but they also look good on your desk.
 
Q Knot Cord Ties (from Storables)
Keeping cords under control is something all of us deal with daily.  As another option to using binder clips that you may already have, consider purchasing cord organizing products that are reusable and don’t need to be replaced after each use.
 
Green Letter Boxes (from Storables)
Made from recycled materials, consider purchasing green letter boxes or magazine file bins that function nicely to organize items on your desk while also looking good.

Organizing a Busy Family Using the Cloud: Case Study

As professional organizers in Seattle, we recently worked with a family of five: three kids, one busy entrepreneur dad, and a working mom constantly on-the-go.  The family had smart phones but didn’t have their schedules synced or easily accessible, making it difficult to stay organized.
 

Solution:
We suggested the Seattle family use a cloud computing service and set up a shared calendar so they could collaborate, easily keeping informed about events or appointments for other family members. This gave them the ability to stay on the same page and know how to best coordinate their time commitments and obligations.

Result:
The busy entrepreneur dad now knows when each of the children’s activities are happening, the on-the-go working mom knows when her husband is running errands or picking up the kids as she returns home each night from work, and everyone knows the Seattle family’s weekend plans. The busy family now has a cloud-based tool to keep them connected and aware of their various commitments, time constraints, and upcoming events!

How to Use Outlook 2010 Auto Archive Settings

Quick Tips

Make sure to sync your devices regularly so your information is always accurate and doesn’t contain duplicates.
Use unexpected free time wisely – while waiting in line or sitting in traffic, have a list of things you can do then.
For each task on your to-do list, add its estimated completion time. This gives you a realistic view of everything on your plate for the day.
